Privacy Policy

The plain version: your members’ data is your church’s, we never sell it, and we will hand it back any time you ask. The detail is below.

1. Who we are

ChurchHarmony® is operated by Unexplainable Solutions LLC. This policy explains what information we collect through our websites and software platform, how we use it, and the choices you have. It covers both visitors to our website and churches using the platform.

2. Two kinds of data

Church data is the member, giving, attendance, and file information your church places in the platform. Your church is the controller of that data; we process it on your behalf, under your instructions, to operate the Service. We do not sell it, rent it, share it with advertisers, or use it to market to your members.

Our own data is what we collect directly: the contact details you give us when you subscribe or contact support, billing records, and basic technical logs from our website.

3. What we collect

  • Account information — church name, address, administrator names, email addresses, and phone numbers.
  • Billing information — subscription status, invoices, and usage totals. Card details are handled by our payment processor, not stored by us.
  • Support correspondence — emails and call notes, kept so we have context on your account.
  • Technical logs — IP address, browser type, pages viewed, and timestamps, used for security and to understand which pages are useful.
  • Member-submitted content — whatever your members enter in their own profiles, prayer requests, group posts, forms, and registrations.

4. Cookies and analytics

Our platform uses strictly necessary cookies to keep you signed in and to protect against cross-site request forgery. Our marketing website uses minimal analytics to count page views. We do not run third-party advertising trackers or sell audience data, and we do not build advertising profiles of your members.

5. How we use information

To provide and support the Service, process your subscription and usage billing, send transactional notices such as invoices and security alerts, respond to support requests, investigate abuse, and comply with law. We use aggregate, non-identifying usage patterns to decide what to build next.

6. Messages you send through the platform

When your church sends email, SMS, or voice messages, we pass the message and recipient list to our delivery providers to transmit it. Delivery metadata such as bounces, failures, and opt-outs is returned and stored so your church can honor unsubscribe and stop requests. Your church is responsible for having consent to contact those recipients.

7. Payment and donor data

Online giving is processed by Stripe, Inc. Donor card and bank credentials go directly to Stripe and never touch our servers. We store the non-sensitive record of the gift — amount, date, fund, and donor identity as your church configured it — so your church can manage receipts, statements, and reporting. Our infrastructure is PCI Level 1 certified.

8. Who else can see data

We share information only with service providers who need it to operate the Service — cloud hosting, payment processing, email and SMS delivery — each bound to protect it and use it only for that purpose. We also disclose information when required by valid legal process, or to protect the rights and safety of our users. We do not sell personal information.

9. Security

Data is encrypted in transit, stored on secure cloud infrastructure with restricted access, and backed up regularly. Access within your church is governed by the administrative roles and private-field settings you configure, so your leadership decides who can see financial and sensitive profile data.

10. Retention and deletion

We keep church data for as long as your subscription is active. On request during your subscription or within 30 days after cancellation, we will export your data at no charge; after that window it may be permanently deleted from active systems and backups. Billing records are retained as long as required for tax and accounting purposes.

11. Your choices and rights

Members can review and update their own profile information at any time, and church administrators can correct or remove records. If you are a church member and want your information changed or deleted, contact your church office first — they control the record. Depending on where you live, you may have rights to access, correct, delete, or port your personal information; we honor verified requests as required by applicable law. Contact us and we will route the request appropriately.

12. Children

Churches commonly store records for minors, including check-in and class attendance. That data is entered and controlled by the church with parental knowledge, under the church’s own policies. We do not knowingly collect personal information directly from children through our marketing website.

13. Changes

We may update this policy. Material changes will be posted here with a revised date and, where significant, emailed to account administrators.
